Booking Confirmation

A booking is confirmed only after we receive your completed booking form and the required deposit. Once confirmed, you will receive a booking confirmation by email together with additional preparation information for your expedition.

Bookings are accepted on a first-come, first-served basis. Places cannot be guaranteed until your deposit has been received.

Deposits & Final Payment

A non-refundable booking deposit is required to reserve your place on any Trans-Himalayan Odyssey expedition.

The remaining balance must be paid before the final payment deadline specified in your booking confirmation. Failure to complete payment by the due date may result in cancellation of your booking.

• Booking deposit confirms your reservation.
• Final payment must be received before departure.
• Prices are quoted per rider unless otherwise stated.
• Quoted prices include only those services specifically listed on each trip page.

Cancellations & Refunds

We understand that plans can change. However, significant preparation, accommodation reservations and expedition logistics begin well before departure. For this reason, the following cancellation policy applies.

• The booking deposit is non-refundable.
• Cancellation requests must be submitted in writing by email.
• Refunds, where applicable, will be calculated from the date your written cancellation is received.
• Any bank charges or payment processing fees are non-refundable.

If Trans-Himalayan Odyssey must cancel an expedition due to circumstances entirely within our control, you will receive the option of transferring your booking to another departure or receiving a refund of payments made, excluding any non-recoverable third-party costs already incurred on your behalf.

Who Can Join

Our expeditions are designed for licensed riders who are comfortable operating a motorcycle on mountain roads, gravel tracks and varying terrain.

• Participants must hold a valid motorcycle licence appropriate for the motorcycle being ridden.
• Riders must comply with all local traffic laws throughout the expedition.
• Participants should be physically fit for extended days of high-altitude riding.
• Riders are responsible for ensuring they meet all passport, visa and entry requirements for India.

For safety reasons, Trans-Himalayan Odyssey reserves the right to refuse participation to anyone whose riding ability, behaviour or physical condition presents a risk to themselves or other participants.

Mandatory Insurance Requirement

Comprehensive travel insurance is mandatory for every participant joining a Trans-Himalayan Odyssey expedition.

Because our journeys take place in remote areas of the Indian Himalayas, each rider is responsible for arranging their own insurance before arrival.

Your insurance policy must specifically include:

• Motorcycle riding.
• High-altitude travel up to 6,000 metres.
• Emergency medical treatment.
• Emergency helicopter evacuation.
• Medical repatriation.
• Personal accident cover.

Failure to obtain appropriate insurance may result in your participation being refused without refund.

Your Health Matters

Our expeditions operate at elevations exceeding 5,000 metres, where altitude-related illness is a genuine risk. Every participant accepts responsibility for ensuring they are medically fit to undertake the expedition.

• Inform us of any relevant medical conditions before departure.
• Carry all required personal medications.
• Follow the guidance of your expedition leader regarding acclimatisation.
• Immediately report symptoms of altitude sickness or illness.

If our guides determine that continuing the expedition would place a participant's health or safety at risk, we reserve the right to arrange evacuation or require that participant to discontinue the ride.

Motorcycle Responsibility

Every participant is responsible for the motorcycle provided to them throughout the expedition. Riders agree to operate the motorcycle safely, responsibly and in accordance with all applicable traffic laws and the instructions of the tour leader.

• Ride within your abilities and road conditions.
• Perform basic daily safety checks when requested.
• Report any mechanical issue immediately.
• Do not allow another person to ride your assigned motorcycle without prior approval.
• Comply with local traffic regulations at all times.

Any fines, penalties or legal consequences resulting from traffic violations are the sole responsibility of the rider.

Collision Damage Waiver (CDW)

Every motorcycle supplied during the expedition includes mandatory Third-Party Road Liability Insurance. Damage to the rented motorcycle itself is not included under this insurance.

To provide additional peace of mind, riders may purchase our optional Collision Damage Waiver (CDW) before the expedition begins.

• Optional CDW: €300 per rider, per tour.
• Covers accidental damage to the rented motorcycle.
• Includes repair costs, replacement parts and structural damage resulting from accidental incidents during the tour.

The CDW does not cover damage resulting from reckless riding, riding under the influence of alcohol or drugs, deliberate misuse, theft due to negligence or any activity prohibited by law.

Refundable Damage Deposit

Participants who choose not to purchase the optional Collision Damage Waiver must provide a refundable motorcycle security deposit before the expedition begins.

• €200 or ₹18,000 per motorcycle.
• Payable by credit card or cash.
• Collected on Day 1 before motorcycle handover.
• Returned in full upon the safe return of the motorcycle, subject to inspection.

Any repair costs resulting from accidental damage may be deducted from the deposit. If repair costs exceed the deposit amount, the rider remains responsible for the remaining balance.

Mechanical Support

Our motorcycles are fully serviced before every expedition and are maintained to a high standard. However, motorcycle travel through remote Himalayan terrain is demanding, and occasional mechanical issues may occur.

Trans-Himalayan Odyssey will provide reasonable roadside mechanical assistance throughout the expedition.

• Backup motorcycle available for groups larger than four riders.
• Smaller groups carry essential tools and commonly required spare parts.
• Our team will make every reasonable effort to minimise delays.

Adventure Requires Flexibility

The Himalayan environment is unpredictable. Weather, road conditions, military checkpoints, landslides and local authorities may require itinerary adjustments at short notice.

Trans-Himalayan Odyssey reserves the right to modify routes, accommodation, overnight locations, riding distances or daily schedules whenever necessary for operational or safety reasons.

• Road closures.
• Extreme weather.
• Landslides.
• Government restrictions.
• Medical emergencies.
• Mechanical circumstances.

Events Beyond Our Control

Trans-Himalayan Odyssey shall not be liable for delays, interruptions, cancellations or additional costs arising from events beyond our reasonable control.

• Natural disasters.
• Floods or landslides.
• Earthquakes.
• Extreme weather.
• Government restrictions.
• Border closures.
• Civil unrest.
• Pandemics or public health emergencies.
• Flight delays or airline cancellations.

Where practical, we will always make reasonable efforts to minimise disruption and continue the expedition safely.

Adventure Travel Involves Risk

Motorcycle travel through the Indian Himalayas is an adventure activity involving inherent risks, including but not limited to changing weather conditions, high altitudes, rough roads, wildlife, mechanical failures and the actions of other road users.

By participating in a Trans-Himalayan Odyssey expedition, you acknowledge these risks and accept personal responsibility for your decision to participate.

• Ride within your own abilities and comfort level.
• Follow the instructions of the expedition leader at all times.
• Wear the required protective riding equipment.
• Exercise reasonable care for your own safety and that of others.

Trans-Himalayan Odyssey shall not be liable for injury, illness, death, loss, theft, delay, inconvenience or damage arising from circumstances beyond our reasonable control or from risks that are inherent in motorcycle adventure travel.

Photography During the Expedition

Our expeditions are frequently photographed and filmed to capture memorable moments and showcase the beauty of the Himalayas.

By participating, you grant Trans-Himalayan Odyssey permission to use photographs and video footage in which you may appear for promotional purposes, including our website, social media channels and marketing materials.

If you prefer not to appear in promotional material, please inform us in writing before the expedition begins, and we will make every reasonable effort to respect your preference.

Code of Conduct

We strive to create a respectful, enjoyable and safe environment for every rider.

• Treat fellow riders, local communities and staff with respect.
• Respect local customs, culture and religious sites.
• Follow all safety briefings and expedition instructions.
• Do not ride under the influence of alcohol or illegal substances.
• Protect the environment by leaving no unnecessary waste behind.

Trans-Himalayan Odyssey reserves the right to remove any participant whose behaviour places themselves, other participants or the expedition at risk. No refund will be provided in such circumstances.

Applicable Law

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the Republic of India.

Any disputes arising from these Terms & Conditions or participation in a Trans-Himalayan Odyssey expedition shall be subject to the exclusive jurisdiction of the competent courts in Leh, Ladakh, India, unless otherwise required by applicable law.
